Flinote ("Flinote," "we," "us") is built to help you learn faster by turning your materials into structured study outputs. This Privacy Policy explains how we collect, use, and disclose the personal information we receive about you online and offline, including when you use our web, iOS (Apple App Store), and Android (Google Play Store) applications that link to this Privacy Policy and any other interactions you have with us (collectively, the "Services"). This Policy also describes certain rights you may have regarding your personal information.

This Policy applies when you use the Services as a consumer and does not apply to information we process about you as a job applicant, contractor, or employee.

By using our Services or otherwise interacting with us, you consent and agree to our collection, use, and disclosure of information as described in this Policy.

To provide the Services, we collect the personal information described below.

Personal Information You Provide to Us

When you use the Services or otherwise interact with us (including through support channels), we may collect the following personal information:

  • Username
  • Full name
  • Email address

Content you submit and create on Flinote. Flinote is designed to help you transform learning inputs into outputs. If you create, upload, transmit, or otherwise provide information through the Services, we will collect that information. This may include:

  • Audio uploads
  • YouTube links
  • PDFs
  • Text inputs
  • Edits you make to notes
  • Queries you type while using chat with notes
  • Feedback and support communications

Using these inputs, Flinote may generate or help you create outputs such as notes, flashcards, quizzes, mind maps, podcast-style summaries, and chat-based responses grounded in your notes.

Please use discretion with what you submit. You control what you upload or paste into Flinote. For your protection, we recommend you do not submit sensitive personal information such as government ID numbers, financial account details, passwords, or health/medical data. While we take steps to protect information, no system is 100% secure.

If your submissions include other people. If you upload content that contains another person's voice, image, or other personal information, you represent that you have provided any required notice and obtained any required consent to share that content with us for processing through the Services.

Payments (if applicable). If you purchase a subscription or other paid feature, we collect information needed to process and administer your purchase. Payment card details are handled by third-party payment processors, and we generally do not store full payment instrument details.


Personal Information We Collect Automatically When You Use the Services (Cookies, Pixels, and Similar Technologies)

When you interact with our website or mobile applications, we may automatically collect information about how and when you use the Services, including:

  • device type and identifiers
  • operating system and version
  • browser type and settings (for web)
  • IP address and approximate location derived from it
  • frequency, timing, and duration of usage
  • pages/screens you view and actions you take in the Services
  • referral source (e.g., websites or search terms that directed you to Flinote)
  • diagnostic data such as crash logs and performance information

We collect this information using technologies such as cookies, pixels, beacons, tags, SDKs, scripts, and local storage (e.g., HTML5 local storage and browser cache). Vendors providing these tools may collect information directly when their code runs.

You may be able to control cookies through your browser settings. Your choices are browser- and device-specific. If you disable certain cookies or similar technologies, some functionality may not work properly.

We may receive information about you from the following categories of third parties:

Service providers and partners. We may receive information from vendors that help us run the Services (for example, providers that support hosting, analytics, customer support tooling, or security). Other users. If another user invites you to Flinote or shares content with you through the Services, we may receive limited information needed to complete that request (such as your email address).

How We Use Your Personal Information

We use your personal information to provide, maintain, improve, and promote the Services and to communicate with you. The purposes for which we use personal information include:

Providing, maintaining, and personalizing the Services. This includes enabling account access, hosting and processing your content, generating notes/flashcards/quizzes/mind maps/podcast-style summaries, supporting chat-with-notes, allowing you to edit notes, and sending transactional communications related to your use of the Services.

Measuring, analyzing, and improving the Services. We analyze usage and performance, conduct user research, collect feedback, and improve product reliability and quality.

Providing support, resolving issues, and responding to requests. We provide support and important administrative communications.

Marketing communications. We may send you information about the Services, new features, and offers. Where required by law, we will provide choices and obtain consent. You can opt out of marketing communications as described below.

Preventing fraud, abuse, and protecting security and integrity. We investigate, detect, and prevent suspicious activity, security incidents, and other harmful or prohibited uses.

Protecting rights and enforcing policies. We protect our rights and property and those of others, and we enforce our Terms and policies.

Complying with law. We comply with applicable laws and respond to lawful requests for information.

Other purposes with notice. If we intend to use personal information for a new purpose that is materially different from the purpose for which it was collected, we will provide notice and obtain consent where required.

Personal Information You Choose to Disclose via the Services

Depending on the product features and your settings, certain information you choose to share (such as notes or outputs you share via links or collaboration features) may be accessible to others.

Third Parties to Whom We Disclose Personal Information

We may disclose personal information in the following circumstances:

For external processing. We share personal information with service providers and vendors that process information on our behalf to operate and support the Services (for example, hosting, analytics, customer support, security, and infrastructure). These providers are expected to process information according to our instructions and to implement appropriate confidentiality and security safeguards.

To respond to legal requests and prevent harm. We may disclose information if we have a good-faith belief that access, use, preservation, or disclosure is reasonably necessary to:

  • comply with law, regulation, legal process, or enforceable governmental request;
  • enforce our Terms or investigate potential violations;
  • detect, prevent, or address fraud, security, or technical issues; or
  • protect the rights, property, or safety of Flinote, our users, or others.

Business transfers. If Flinote is involved in a merger, acquisition, financing, reorganization, or sale of all or a portion of its assets, personal information may be transferred as part of that transaction (including during due diligence).

With your consent. We may disclose personal information to third parties when you consent or direct us to do so.

We do not sell your personal information.


Your Choices About How We Use Your Personal Information

Email and notifications. You may opt out of marketing emails by using the unsubscribe link in those messages (if we send them) or by adjusting your account settings where available. We may still send transactional communications (e.g., security or account notices).

Cookies and tracking tools. You can manage cookie preferences through your browser/device settings. Choices are browser- and device-specific.

Managing your account and content. Where available, you can:

  • edit and delete notes and study outputs, and
  • request deletion of your account.

If you delete your account, we will delete or de-identify associated personal information in accordance with our retention practices, subject to legal exceptions.

Do Not Track. We do not currently respond to browser "Do Not Track" signals except as required by applicable law.


How Long We Retain Your Personal Information

We retain personal information for as long as necessary to provide the Services, keep your account active, fulfill legitimate business purposes, or comply with legal obligations and document retention requirements. When these conditions no longer apply, we delete or de-identify information consistent with our standard processes, subject to legal exceptions.

We may retain certain support and operational records (such as support tickets and security logs) for longer periods where reasonably necessary to maintain accurate business records, improve support, and protect the Services.


How We Secure Your Personal Information

We use measures reasonably designed to protect against unauthorized access, use, alteration, or destruction of personal information. However, the internet is not 100% secure, and we cannot guarantee absolute security. Please use caution when sharing information online and safeguard your account credentials.


Third-Party Websites or Platforms

The Services may link to third-party websites or platforms that operate independently. We are not responsible for their privacy practices. Review their policies before providing personal information to them.


Children's Privacy

Flinote is intended for users generally in high school and beyond. We do not knowingly collect personal information from children under 13, or under 14 where parental consent is required under applicable law, without obtaining appropriate consent. If we learn we have collected such information without required consent, we will take steps to delete it as soon as reasonably practicable.


Jurisdictional Rights

Depending on where you live, you may have rights regarding your personal information. These rights apply only to the extent applicable law covers you and Flinote.

EEA, Switzerland, and UK (GDPR)

If you are located in the EEA, Switzerland, or the UK, you may have rights such as access, correction, deletion, objection, restriction, and portability, subject to legal limits. We process personal information based on lawful grounds such as contract, consent, legitimate interests, and legal obligations, depending on the context.

California (CCPA/CPRA)

If you are a California resident, you may have rights to know/access, delete, correct, and opt out of certain uses, including the "sale" or "sharing" of personal information as defined by California law.

Flinote does not sell personal information for money. If we engage in targeted advertising that may be considered "sharing" under California law, you may request to opt out as described below.

Privacy Rights in Your State or Country of Residence

Other U.S. state laws and laws in other countries may provide similar rights (such as access, deletion, correction, portability, and certain opt-outs). We will not discriminate against you for exercising applicable rights.

How to exercise your rights. To submit a request, contact us at support@flinote.ai with the subject line "Privacy Request." We may request information to verify your identity.

Appeals. If applicable law provides an appeal right and we deny your request, you may appeal by emailing support@flinote.ai with the subject line "Privacy Appeal."


Changes to This Policy

We may update this Privacy Policy from time to time. If we make material changes, we will provide notice as required by law. Your continued use of the Services after an update means you accept the revised Policy.
